Position Title: Administrative Support Assistant

Job Brief:

The Administrative Support Assistant is responsible for providing administrative support to the Danieli Service Center Team. This role is the single point of contact for the administrative needs of Danieli staff and exterior customers and will provide services in a manner that demonstrates the highest levels of quality, accountability, and teamwork. This position reports to and is directly accountable to the Service Center Operations Manager.

Tasks and Day-to-Day Activities in the role:

  • Responsible for time reporting
  • Arranges and manages travel for Danieli staff which includes booking hotels, transportation, and flights in a timely and accurate manner
  • Handles inventory and ordering of office supplies, snacks, kitchen items and other incidentals necessary for office operations
  • Responsible for organizing company events as required
  • Maintains office equipment and performs minor troubleshooting with the support of ICT
  • Prepares office mailings
  • Creates reports or presentations as requested
  • Maintains at all times the confidentiality of all sensitive or proprietary information
  • Support HR with new-hire paperwork & onboarding
  • Keeps reception area clean and organized
  • Seeks advice and guidance on non-routine or problem areas from others
  • Responsible for handling incoming and outgoing packages and mail
  • Greets visitors to Danieli
  • Accepts/signs for, and tracks incoming deliveries

Skills and Must Have's:

  • Associates degree in related field, or equivalent combination of education and experience
  • At least five years of experience in area of responsibility with at least two of those years in support of a senior management role, with successful demonstration of key responsibilities and knowledge as presented above
  • Advanced computer skills; proficient in MS Office including proven ability to develop and manipulate spreadsheets in Excel
  • Solid numerical skills
  • Excellent customer-service skills
  • Ability to work in a team-oriented environment, self-starter, energetic
  • Ability to work independently in a time-sensitive environment
  • Ability to communicate clearly, in a timely and accurate manner
  • Ability to organize workload, adapt quickly to change and deliver under the pressure of deadlines
  • Ability to maintain confidentiality of employee information at all times
